Last updated: 27 May 2026 This Policy describes what ends a Brand Atlas account and the mechanics that follow. It is a companion to the Cancelling and exporting page, which covers the workflow from the customer’s perspective.

1. Termination by the customer

A customer can terminate their subscription at any time from Settings → Billing → Cancel subscription. The termination takes effect at the end of the current billing period. Until then nothing changes. After the billing period ends:
  1. The subscription stops renewing.
  2. The atlas enters a 30-day grace period during which:
    • The atlas is read-only.
    • Exports remain available.
    • Team members can sign in to view content but cannot edit, comment, or raise requests.
    • Guest Passes expire.
  3. At the end of the grace period, the brand record is deleted from active systems. See Data Retention & Deletion.

2. Termination by Brand Atlas (for cause)

We may terminate an account for cause when:
  • The customer materially breaches the Terms of Service or the Acceptable Use Policy.
  • The customer’s payment has failed beyond the 14-day grace period and no payment method has been restored.
  • The account is being used for illegal activity.
  • The account poses a security risk to the Service or to other customers.
For material breaches that are curable, we notify the customer and provide a reasonable cure period (typically 14 days) before terminating. For breaches that are non-curable or pose immediate risk, we terminate immediately.

3. Termination by Brand Atlas (without cause)

In the rare event that Brand Atlas determines it cannot continue to serve a specific customer or the Service ceases to operate:
  • Specific customer: Termination would be exceptional and announced at least 60 days in advance.
  • The Service: Customers would be notified at least 90 days before the Service closes. Exports would be available at no cost throughout the notice period.

4. Authorship transfer at termination

Where the brand owner is being replaced (rather than the brand atlas being closed), authorship is transferred to the new brand owner before the original brand owner’s account is closed. The atlas continues; only the accountable person changes. See Team and seats.

5. Exports during the grace period

Customers can export the brand record during the 30-day grace period in three formats:
  • PDF milestone.
  • MDX bundle.
  • JSON record.
Export is initiated from Settings → Brand Record → Export. Exports are emailed to the brand owner.

After backup ageing completes, the data is no longer recoverable.

7. Reactivation

A cancellation can be reversed at any time before the end of the billing period by clicking Reactivate in Settings → Billing. After the end of the billing period, reactivation requires support involvement and may not be possible if the grace period has elapsed. After grace, the account cannot be reactivated; the customer can sign up again with a new atlas, but the brand record is gone.

8. Pause as an alternative

For temporary stops (rather than permanent closure), use Pause subscription instead of Cancel. Paused subscriptions are described on Cancelling and exporting.

9. Outstanding balances

A cancelled account remains responsible for any outstanding balance through the end of the billing period. Refunds are governed by the Refund Policy.

10. Effect on team members

When a brand owner’s account is terminated:
  • Team members of that atlas lose access at the end of the grace period.
  • Team member accounts on Brand Atlas as a whole are not affected; they can access other atlases they are members of.
  • Account-level user data is not deleted unless the team member’s account itself is closed.

11. Survival

Some provisions of the agreement survive termination:
  • Confidentiality and intellectual property protections.
  • Limitations of liability.
  • Customer obligations regarding outstanding balances.
  • Dispute resolution and governing law.

12. Changes

We may update this Policy. Material changes are announced 30 days in advance.
