1. Brand Atlas’s outbound email
We send three categories of email:Transactional
Required to operate the Service: welcome, password reset, two-factor authentication, billing confirmations, invoices, security alerts. These emails are sent because they are necessary; they cannot be unsubscribed from while an account is active.Service notifications
About activity on the customer’s atlas: Update Requests, mentions, milestone publications, Guest Pass activity, AI configuration changes. Customers can configure these in Settings → Notifications; categories can be disabled or batched into a daily digest. Security-critical and billing-critical notifications cannot be disabled.Marketing
Optional. We send occasional updates about Brand Atlas (product changelog summaries, blog posts of likely interest). Marketing email is opt-in for new customers; an explicit choice is offered at signup. Existing customers can opt in or out at any time in Settings → Notifications → Marketing emails. We do not share customer email addresses with third parties for marketing purposes. We do not sell email addresses.2. Authentication and reputation
Our outbound mail is authenticated with SPF, DKIM, and DMARC. We use a reputable transactional email provider and maintain delivery hygiene through:- Bounce handling: addresses that hard-bounce are flagged and suppressed.
- Spam complaint handling: addresses that mark our mail as spam are suppressed.
- List hygiene: inactive addresses are reviewed periodically.
3. Customer responsibility for outbound communications
When a customer invites a team member or creates a Guest Pass and sends the resulting link by email, the customer is responsible for ensuring that communication complies with applicable anti-spam law:- The recipient has consented or has an existing relationship. Inviting unsolicited recipients to a brand atlas is not appropriate use of the Service.
- The communication includes appropriate identification of the sender and an unsubscribe path where required by law.
- The communication is sent at an appropriate volume. Inviting thousands of recipients in a short period may trigger anti-spam controls on our side.
4. Brand Atlas does not send marketing emails to your team members
When you invite a team member, that invitation is the only email Brand Atlas sends them about your atlas (subsequent emails are about their own activity, like notifications they configured). We do not enrol your team members in our marketing programmes without their own opt-in.5. Reporting spam from Brand Atlas
If you receive email purporting to come from Brand Atlas that you believe is spam, write to abuse@brandatlas.pro. Forward the original email with full headers where possible. We investigate and (where the report is valid) cease the sending pattern, with appropriate action against the responsible account where applicable.6. Reporting impersonation
If you receive email impersonating Brand Atlas (a phishing email pretending to be us), write to security@brandatlas.pro. Phishing impersonation is unfortunately common; we coordinate with email providers and authorities where appropriate.7. Unsubscribe
Marketing emails carry an unsubscribe link. Service notifications are configured in the portal at Settings → Notifications. Transactional emails cannot be unsubscribed from while an account is active.8. Changes
