The Team settings screen is where the brand owner manages who has access to the atlas, what their role is, and how the available seats are used. Open Settings → Team.

What you see on Team settings

The Team list shows every account-holding member of your atlas:
  • Name and email.
  • Role. Brand owner, editor, team member.
  • Status. Active, paused, invited.
  • Joined date. When the member accepted their invitation.
  • Last active. Last time they signed in.
  • Section scope (Editors only). Which sections and Horizons they can edit.
Guests (people accessing the atlas through a Guest Pass) are not shown here; they appear on Guest Passes.

Seat limits by tier

  • Scout. 1 brand owner + 2 team members. No editors. Three seats total.
  • Keeper. 1 brand owner + 5 team members. Editors counted within the team-member limit.
  • Guardian. 1 brand owner + unlimited team members. Editors and team members both unlimited.
A seat is consumed by an active or paused member; an invited-but-not-yet-accepted member also consumes a seat. An invitation that has expired releases the seat after 14 days.

Inviting a team member

Covered in detail in Invite your team under Get Started. The short form:
  1. Click Invite team member.
  2. Enter the email address.
  3. Choose the role.
  4. Set the section scope if Editor.
  5. Send the invite.
The invitee receives an email with a link that expires after seven days. If it expires, resend from the team list.

Changing a member’s role

1

Find the member

Click the row in the team list. The member’s profile opens with their current role.
2

Change role

Click Change role. Pick the new role.
  • Brand owner → Editor or Team Member. Authorship must be transferred first; see Transferring authorship below.
  • Editor → Team Member. Edit rights are removed; the member retains read access.
  • Team Member → Editor. Edit rights are granted. You are prompted to set the section scope.
3

Confirm

The change is effective immediately. The brand record records the role change.

Pausing a member

A paused member retains their seat but cannot sign in. Useful for:
  • A freelancer between engagements.
  • A team member on extended leave.
  • An agency partner who is dormant for a period.
To pause: click the member, choose Pause. To resume: click Resume. Both actions are recorded.

Removing a member

A removed member loses access immediately and their seat is freed. Their attribution in the brand record’s history is preserved. To remove: click the member, choose Remove. Confirm. The action is recorded. If you want to retain their account but stop their access in this specific atlas, Remove is the right action. Their account on Brand Atlas as a whole is not affected.

Transferring authorship

Authorship of the atlas can be transferred from the current brand owner to another team member. Authorship transfer is a deliberate action with a confirmation step on both sides.
1

Initiate the transfer

Open the member you want to make brand owner. Choose Make brand owner. The portal asks you to confirm.
2

The recipient accepts

The recipient is notified by email and in-portal. They open the notification and accept. Until they accept, the transfer is pending; both of you can cancel.
3

Set your new role

Once accepted, you choose your new role: Editor with chosen scope, Team Member, or leave the atlas entirely.
Authorship is transferred. The brand record records the transfer. The new brand owner has full editing rights and approval authority.
The transfer is recorded as a milestone in the brand record’s history.

What happens to a member when the tier changes

  • Upgrading. All members retain their roles. Editor role becomes available on Keeper if it was not previously.
  • Downgrading to Keeper. Editors retain their role; team members beyond the new limit are flagged for removal or pause before the downgrade applies.
  • Downgrading to Scout. Editors are converted to Team Members; team members beyond the new limit (2) are flagged for removal or pause.
Downgrades cannot remove the brand owner. The brand owner counts as one seat at every tier.
